Every AI model you're using was trained on the internet. It knows a lot about the world in general. It does not know your company's pricing, your product specs, your internal processes, or what your top client asked for last quarter. If you've ever gotten a confident AI answer that was plausible but completely wrong for your specific business context, this is why. RAG is one of the main ways to close that gap.

What RAG actually stands for — and what it does

RAG stands for Retrieval-Augmented Generation. The retrieval part means the system searches through a defined set of documents — your files, manuals, policies, past proposals — and pulls the relevant pieces before generating a response. The AI isn't working from memory or general training data. It's reading your actual content in real time and synthesizing from that. The result: answers grounded in what your business actually knows and does, not what the internet generally says about your industry.

A real example you'd recognize

Say you have 200 client contracts in a shared drive. Without RAG, asking your AI "what are our typical liability terms?" produces a generic answer based on what contracts usually look like. With RAG pointed at your contract library, it reads your actual contracts and tells you what your specific terms look like — variations, patterns, outliers. Same AI, completely different usefulness. This same pattern applies to HR policies, product documentation, technical manuals, past project files, or any other body of knowledge you've built up over time.

What it takes to set this up

For a basic RAG setup, you need documents in a readable format, a way to index them (this is usually the technical part), and an AI that can query that index when you ask a question. Tools like Microsoft Copilot with SharePoint integration, Notion AI, and several standalone products handle this with minimal technical setup. The harder part is usually getting your documents in good enough shape — clear, organized, not buried in obsolete versions — before connecting them to AI. Garbage in, garbage out.

The honest caveat

RAG improves accuracy and grounding, but it doesn't eliminate errors. If your source documents are wrong or outdated, the AI will confidently relay that wrong information. And RAG only knows what you've given it — if the answer isn't in your indexed documents, it either falls back to general knowledge or, if configured conservatively, says it doesn't know. That second option is a feature, not a bug. An AI that admits ignorance is more useful than one that fills the gap with something plausible-sounding.
